database access & physical inventory count

Hi all,

I would like to know how you plan for your physical inventory count, specifically database access:

I know we do the typical the physical inventory module freeze and there are 2 ways to stop transactions: (1) From the GL module, closing the inventory transactions for all periods (while everyone could still get in and "browse" around, if needed or (2) Change security (which can fairly be involved).

We want everyone out (except the system admin) but we also don't want to stop the Service people from going into the Service & Support Module, either. Is there a better/different way to restrict database access? Please advise.

Hopefully this isn't too late, but I'm not quite sure why you want to stop
transactions during a PI.

When you perform the freeze, MFG/PRO takes a snapshot of all on-hand
balances. When you complete your tag counts, each item and location is
compared (tag to frozen), and a net change cycle count transaction will be
generated (assuming that everything's within tolerances, of course). The
only challenge with transactions taking place after the freeze (and before
the update) is that you have to remember that the transaction took place,
and remember what the inventory originally looked like. Depending on how
much material your services folks are shipping out on a daily basis, this
could be a lot or next to nothing.

As long as you manage the process well, you should be fine. If not, then
you'll see lots of double- and triple-transactions.

However, if you are changing the Standard Cost of your inventory at the same
time you are doing your Physical, once you release your Physical you will
not be able to get a Costed Inventory at New Standard without all of the
transactions.
